These Association Policies apply to the National Association of Royalty Owners (“NARO,” “we,” “our,” or “us”) website, member services, events, communications, online store, digital resources, member directory, educational programs, and related association activities. These policies are intended to explain how NARO collects and uses information, how members and visitors may use NARO resources, and the rules that help protect NARO, its members, chapters, programs, and content.

NARO may update these policies from time to time. Updated policies will be posted on this page with a revised “Last Updated” date. Continued use of NARO’s website, member services, events, resources, or online systems after updates are posted means you accept the updated policies.

NARO Privacy Policy

NARO is committed to maintaining the trust and confidence of its members, supporters, event attendees, website visitors, and customers. This Privacy Policy explains what information NARO may collect, how we may use it, how we protect it, and the choices available to you.

Information We May Collect

NARO may collect information that you voluntarily provide, information generated through your use of our website and services, and information reasonably necessary to operate, improve, and support the association. This may include, but is not limited to:

• Name, mailing address, email address, phone number, organization, job title, member profile information, and chapter affiliation.
• Membership status, renewal history, event registrations, attendance records, volunteer participation, certification records, education credits, course participation, and program history.
• Payment, billing, transaction, shipping, purchase, donation, sponsorship, advertising, and account information.
• Location information, including mailing address, state, county, chapter region, event location, general geographic area, and other location-related information you provide or that is reasonably inferred from your interaction with NARO.
• Information about mineral, royalty, overriding royalty, working, surface, or other property interests you voluntarily provide, including counties, states, basins, operators, payors, wells, leases, properties, royalty ownership, production-related interests, payment issues, title concerns, or other ownership-related information.
• Information about royalties, revenue, deductions, division orders, lease issues, operator communications, payment questions, property management concerns, or other mineral and royalty ownership topics that you provide through forms, surveys, event registrations, questions, emails, webinars, classes, forums, or member communications.
• Survey responses, form submissions, preferences, interests, feedback, questions, comments, and communications with NARO staff, chapters, committees, board members, presenters, vendors, or support systems.
• Website usage information, such as IP address, browser type, device information, referring pages, pages visited, session activity, cookies, analytics data, and system logs.
• Login credentials, account activity, directory settings, member preferences, and online system usage information.
• Photos, video, audio, chat messages, questions, comments, transcripts, summaries, or other content submitted or captured through NARO events, webinars, meetings, classes, forums, or online platforms, subject to applicable event notices and permissions.

NARO may combine information from different sources to better understand member needs, improve services, support chapters, provide education, communicate effectively, identify policy issues affecting mineral and royalty owners, evaluate programs, and operate the association.

How NARO May Use Information

NARO may collect, process, analyze, retain, and use member, visitor, registrant, customer, and participant information for legitimate association purposes, including but not limited to:

• Managing memberships, renewals, chapters, committees, directories, certifications, education records, events, and member services.
• Processing event registrations, purchases, payments, donations, refunds, shipping, account activity, and digital access.
• Providing educational programs, webinars, certifications, publications, downloads, advocacy updates, chapter resources, and member benefits.
• Communicating news, event information, renewal reminders, advocacy updates, chapter updates, policy developments, educational opportunities, sponsorship opportunities, surveys, and other association-related information.
• Personalizing member communications, website experiences, event recommendations, educational offerings, and program content.
• Understanding where members and mineral owners are located, what states, counties, basins, operators, payors, property types, royalty issues, and ownership concerns may be relevant to them, and how NARO can better serve those needs.
• Supporting NARO’s advocacy, research, membership development, fundraising, sponsorship, marketing, chapter support, operational planning, and strategic decision-making.
• Developing aggregated or de-identified reports, trends, maps, benchmarks, summaries, issue tracking, educational planning, or policy analysis that do not reasonably identify a specific individual unless permitted by the individual or otherwise allowed by law.
• Improving NARO’s website, communications, content, events, products, services, technology, and member experience.
• Maintaining accurate records and complying with legal, tax, financial, governance, audit, insurance, and regulatory obligations.
• Preventing fraud, abuse, unauthorized access, misuse of member resources, violations of NARO policies, or improper use of member lists and directories.
• Enforcing NARO’s bylaws, board policies, membership rules, event rules, directory rules, account policies, and Terms of Use.

NARO may use member and participant data broadly for association operations, member engagement, education, advocacy, communications, program improvement, chapter support, research, sponsorship, fundraising, and organizational planning, provided such use is consistent with applicable law, NARO’s association purposes, and reasonable member expectations.

No Sale of Personal Information

NARO does not sell personal information. NARO does not rent, lease, or exchange personal information for unrelated commercial marketing. NARO may share information with vendors, service providers, chapters, committees, partners, sponsors, or cooperating organizations when reasonably necessary to operate NARO programs, deliver services, process transactions, communicate with members, support events, or advance NARO’s mission and legitimate association purposes.

Limited Sharing and Service Providers

NARO may share information in the following circumstances:

• With service providers that help operate NARO’s website, membership database, payment processing, event registration, email communications, analytics, shipping, webinars, surveys, accounting, security, or other systems.
• With NARO chapters, committees, board members, staff, contractors, presenters, or volunteers when needed for official NARO business.
• With event sponsors, exhibitors, or partners when disclosed as part of an event registration process, sponsorship benefit, attendee list, lead retrieval process, or similar event-related purpose.
• With cooperating organizations, policy partners, researchers, or professional advisors when NARO determines the use supports NARO’s mission, advocacy, education, research, or member-service purposes and is subject to reasonable confidentiality, aggregation, de-identification, or use limitations where appropriate.
• When NARO sends communications, mailings, or announcements on behalf of chapters, sponsors, partners, or organizations whose information NARO determines may be relevant to members. NARO may choose to send the communication itself rather than transferring a member list.
• When required by law, subpoena, court order, regulatory request, audit, insurance requirement, or legal process.
• When necessary to protect NARO, its members, its systems, its rights, its property, or the safety of others.
• In connection with a reorganization, merger, system migration, vendor transition, chapter transition, database migration, or other operational change involving NARO records.

NARO expects service providers to use information only for the purposes for which it was provided and to maintain reasonable safeguards appropriate to the nature of the information.

Membership Lists and Directory Information

The membership list of each NARO chapter is the property of NARO and may be used only for official NARO business. Membership lists, chapter lists, event lists, directory information, and contact information may not be copied, exported, scraped, sold, transferred, or used for unauthorized commercial, political, campaign, solicitation, endorsement, or data-harvesting purposes.

NARO may provide a member directory or other member connection tools to support networking, chapter involvement, education, and communication among members. Directory access, fields displayed, opt-in or opt-out options, and access procedures may vary based on NARO’s systems and board-approved rules.

Use of the member directory is strictly limited to legitimate member-to-member communication and official NARO purposes. Members may not use directory access for mass solicitation, advertising, endorsements, campaign activity, political advocacy, commercial prospecting, data harvesting, or promotion of specific companies, candidates, products, or services without written authorization from NARO. Violations may result in suspension or termination of membership, loss of directory access, removal from NARO systems, event restrictions, or other action deemed appropriate by NARO.

Email, Mail, and Communications

By joining NARO, registering for events, purchasing products, downloading materials, submitting forms, participating in programs, or otherwise providing contact information, you agree that NARO may contact you regarding membership, events, education, advocacy, renewals, transactions, programs, chapter activity, surveys, and other association-related matters.

NARO intends to comply with applicable email and marketing laws, including CAN-SPAM requirements where applicable. Commercial or promotional emails from NARO will generally include an unsubscribe or preference-management option. Some transactional, membership, legal, administrative, event, renewal, or account-related communications may still be sent when necessary to provide services or manage your relationship with NARO.

If you provide a postal address, you may receive mailings from NARO or mailings sent by NARO on behalf of chapters, partners, sponsors, or organizations whose information NARO determines may be relevant to members.

Security

NARO uses reasonable physical, administrative, technical, and managerial safeguards intended to protect personal information from unauthorized access, misuse, loss, alteration, or disclosure. NARO may rely on third-party platforms and vendors for membership management, payments, events, communications, hosting, analytics, and related services. While NARO works to use reputable providers and reasonable safeguards, no website, database, transmission, or storage system can be guaranteed to be completely secure.

Sensitive payment information is processed through third-party payment processors or secure systems. NARO does not intend to store full credit card numbers unless necessary through a secure, compliant payment system. If NARO becomes aware of a data incident requiring notice under applicable law, NARO will provide notice as required.

NARO Online Policy

Cookies

NARO’s website may use cookies, pixels, tags, analytics tools, log files, and similar technologies to operate the website, remember preferences, maintain sessions, improve user experience, understand traffic, measure communications, support security, and evaluate content performance. Cookies are small data files stored by your browser. You may adjust browser settings to refuse or delete cookies. Some website features may not work properly if cookies are disabled.

NARO may retain information for as long as reasonably necessary to fulfill the purposes described in these policies, including membership administration, education records, certification records, event records, transaction records, legal compliance, audit, tax, insurance, dispute resolution, historical association records, security, and operational needs. Retention periods may vary depending on the type of information, legal obligations, NARO’s records practices, and the purpose for which the information was collected.

Your Choices and Rights

Depending on applicable law and NARO’s systems, you may have options to update your member profile or contact information, change email preferences, unsubscribe from certain promotional communications, request access to certain personal information maintained by NARO, request correction of inaccurate information, request deletion or restriction of certain information, or opt out of certain directory displays where NARO provides that option. Some requests may be limited by NARO’s legal, operational, contractual, tax, audit, certification, membership, and recordkeeping obligations.

Children's Online Privacy

NARO does not knowingly collect personal information from children under 13 without appropriate consent. NARO’s website, membership services, and programs are generally intended for adults, mineral owners, professionals, association participants, and individuals interested in mineral and royalty ownership. If NARO learns that it has collected personal information from a child under 13 without appropriate consent, NARO will take reasonable steps to delete the information as required by law.

Third-Party Websites and Platforms

NARO’s website, emails, event pages, social media pages, and resources may link to third-party websites or platforms. NARO is not responsible for the privacy practices, content, security, or policies of third-party websites or services. Use of third-party platforms is subject to their own terms and privacy policies.

Terms of Use

By accessing or using NARO’s website, member systems, event platforms, downloadable resources, discussion areas, forms, publications, or online services, you agree to these Terms of Use. NARO’s website and resources are provided for lawful, informational, educational, association, membership, advocacy, event, and transactional purposes. You agree to use NARO’s website and systems only in a manner consistent with applicable law, these policies, NARO’s bylaws, event rules, member rules, and any instructions posted by NARO.

Prohibited Use

You may not:

• Use NARO’s website, member systems, directory, event lists, or resources for unauthorized solicitation, advertising, political campaigning, endorsements, data harvesting, scraping, spam, or commercial prospecting.
• Copy, export, redistribute, sell, lease, or misuse NARO membership lists, directory information, event lists, or chapter lists.
• Attempt to gain unauthorized access to NARO systems, accounts, databases, or restricted content.
• Upload or transmit malware, harmful code, or disruptive materials.
• Post, transmit, or submit unlawful, defamatory, abusive, threatening, obscene, discriminatory, misleading, infringing, or otherwise inappropriate content.
• Misrepresent your identity, affiliation, membership status, credentials, or authority.
• Interfere with the operation, security, or availability of NARO’s website or systems.
• Use NARO’s name, logo, content, marks, or materials in a way that implies endorsement without written permission.

Educational and Informational Disclaimer

NARO provides educational, advocacy, and informational resources for mineral and royalty owners. NARO does not provide legal, tax, financial, engineering, accounting, investment, land, title, or other professional advice through its website or general educational materials. Information on NARO’s website may not apply to every jurisdiction, lease, title issue, ownership situation, tax circumstance, or legal matter. You should consult qualified professionals before making decisions involving mineral interests, royalties, leases, taxes, title, litigation, investments, or estate planning.

No Warranty and Limitation of Liability

NARO works to provide useful and accurate information, but website content, event materials, publications, downloads, third-party links, and member resources are provided “as is” and “as available.” NARO does not guarantee that all information is complete, current, error-free, uninterrupted, secure, or suitable for any particular purpose. To the fullest extent permitted by law, NARO, its chapters, officers, directors, employees, contractors, volunteers, committee members, presenters, sponsors, and service providers shall not be liable for damages arising from use of, inability to use, reliance on, or errors in NARO’s website, systems, events, materials, downloads, communications, or third-party links.

Intellectual Property

NARO’s name, logos, trademarks, website content, publications, educational materials, graphics, videos, downloads, event materials, forms, and other resources are owned by NARO or used with permission, unless otherwise stated. You may use NARO materials only for personal, internal, educational, or member-related purposes as authorized by NARO. You may not reproduce, distribute, modify, sell, publicly display, publish, upload, or create derivative works from NARO materials without written permission, except as allowed by law or expressly permitted by NARO.

User-Generated Content

If NARO provides message boards, forums, comments, event chats, surveys, uploads, discussion groups, or other areas where users may submit content, you are responsible for what you submit. By submitting content to NARO, you grant NARO a nonexclusive, royalty-free, worldwide license to use, store, reproduce, display, distribute, excerpt, edit, archive, and publish that content for association, educational, promotional, operational, archival, or related purposes, subject to applicable law and NARO policies. NARO may moderate, remove, edit, restrict, or decline to publish user-generated content at its discretion.

NARO Purchase Policy

Shipping Policy

Most physical orders are shipped within three business days when items are available. Processing time may vary from 3 to 14 business days depending on product availability and, in some cases, may take 4 to 6 weeks. Orders may be shipped by USPS, DHL, FedEx, UPS, or comparable carrier. Ground shipping generally averages 4 to 10 business days from the date of shipment. Priority shipping generally averages 3 to 7 business days from the date of shipment. Shipping times do not include Saturdays, Sundays, or federal holidays. Additional charges may apply based on weight, destination, carrier requirements, or special handling. International customers are responsible for any taxes, customs duties, import fees, brokerage fees, or related charges due upon receipt.

Billing Policy

All prices are listed in U.S. dollars unless otherwise stated. NARO may accept Visa, MasterCard, Discover, American Express, checks, or other payment methods made available through NARO’s systems. Online payments may be processed by third-party payment processors. NARO may change pricing, availability, product descriptions, shipping options, or payment methods at any time.

Return Policy

Unless otherwise stated, all orders, registrations, downloads, memberships, sponsorships, and purchases are nonrefundable. Damaged or defective physical products may be exchanged for a replacement when reported within a reasonable time and when replacement inventory is available. Event, course, membership, sponsorship, and digital product cancellation policies may be governed by the specific terms posted for that item or event.

Download License

Downloads and digital materials are licensed, not sold, unless expressly stated otherwise. Downloads are for personal, internal, educational, or noncommercial use by the purchaser or authorized registrant. Digital materials may not be copied, shared, posted, resold, distributed, uploaded, transferred, taught from, incorporated into commercial products, or used for public presentations without written permission from NARO, unless expressly authorized. Additional licenses may be purchased through NARO when available.

NARO Account Policy

NARO may provide online accounts, member profiles, event accounts, learning accounts, directory access, certification records, or other login-based services. You are responsible for maintaining accurate account information, protecting your login credentials, and notifying NARO of suspected unauthorized access.

NARO may suspend, deactivate, restrict, or remove accounts, access, directory privileges, event privileges, or membership-related system access with or without prior notice if NARO determines that the account contains inaccurate, false, outdated, or misleading information; has been used in violation of NARO policies, bylaws, event rules, membership rules, or common internet standards; has been used for unauthorized solicitation, scraping, data harvesting, spam, harassment, abusive conduct, or misuse of NARO resources; creates security, legal, operational, reputational, or member-protection concerns; has been inactive for an extended period; or is no longer eligible for the account, membership, service, or access level.

Accessibility Statement

NARO seeks to make its website and online resources reasonably accessible and usable for members, visitors, and the public. NARO’s website may rely on third-party platforms, plugins, documents, PDFs, videos, and embedded tools that may vary in accessibility. NARO welcomes feedback regarding website accessibility. If you have difficulty accessing content, using a feature, or requesting information, please contact NARO so we can make reasonable efforts to assist.

Photo, Video, Audio, and Event Content

NARO events, webinars, meetings, classes, conventions, and online programs may be photographed, recorded, livestreamed, transcribed, summarized, or otherwise captured. By attending or participating, you may be included in photos, video, audio, chat, Q&A, transcripts, summaries, or related materials. Unless otherwise stated, NARO may use event-related photos, recordings, screenshots, transcripts, summaries, questions, comments, and materials for educational, archival, promotional, member-service, reporting, training, and association purposes.
